2. Minutes of the previous meeting.
The minutes of the previous meeting were agreed.
3] Outstanding Actions:

4] Reports from Officers.
A] President.
- Youth Meeting held on 31/1.Try the track day to be organised.
- 21 youths attended session on 31/1.
-Another 2 adults will go for Level 2 Coaches course.
-KW & Phil Darby contacts for ERC Youths.
-KW Meeting Rudi Dorn [SC] w/c 23/2 to go through GO RIDE club process.
-KW to write something up for handbook for Youths.
b] Vice President.
- Sponsor has paid £1k and another expected in June.
- Sponsor has been invoiced by Jen.
-BW will be contacted by MF/JL.
-Sheraton not interested in sponsoring the club.
-M Corie paid £500 per annum for 5 years
-MF met Cameron Stewart with Gareth George and looking at doing a presentation to other potential sponsors to increase sponsorship.
-F&L paying £3k per annum by 30/6.
-Sponsors page to be updated on website.
-Tri kit logo to go on new kit order.
-Tri section may get a drinks company to provide free drinks at an event soon.
c] Secretary.
· Invitation to attend Scottish Cycling consultation event on Regional Framework, Sunday 1st February – advertised to club members on website.
· Copy of SC Annual Report 2008 on CD
· Details of tour of East Lothian audax (Sunday 15th February) received from Andy Laing. (This has already been advertised on our web site message board.)
· Signed copy of sponsorship agreement + cheque for £1000 received from ‘A Sponsor’. (The sponsorship agreement runs from 1/1/09 to 31/12/09 & consists of two equal installments of £1K. The second installment is due on 30/6/09.)
· Ken Russell has removed Glenrental logo from our website & added ‘A Sponsor’ logo. (We still need to announce our new sponsor & remove the hire car page from our website.)
· 2009 Affiliation Certificate received from Scottish Cycling
· List of SC champions 2008 – received by e-mail from SC. The first draft contained several errors. Have e-mailed James McCallum with further corrections.
· Brochure for Noo Funteers Bicycle Vacation Tours received.
· Latest ImpSport catalogue received. This contained no mention of magnetic car signs but there are several firms advertising on the web - http://www.magsigns.co.uk/ (£56 for two 24” x 12” standard signs on white backgrounds).
· Offer of spin cycling facilities from Brian Dempster of the Club at Jewel & Esk Valley College – Peter Ness is following this up.
· Offer of sponsorship for youth cycling activities from Richard Dowsett of Leith Cycling Co. “On a separate note, I heard you were looking to do something for kids down at Glen Tress. I was wondering if you were looking for sponsors for this or any Edinburgh based kids activities?”
· Recall of club trophies – Jonny has still to collect a few in from Colin Crawford (John Corraghan’s Strength of Character) & Ken Whitson (various from Paul Black). Still to confirm all committee awards & MTB cup. Will take cups to be engraved at the end of this week.
· Annual Awards Dinner – Jonny in the process of setting up tickets via Entry Central. We have the event listed under test but require a few extra fields added before it goes live. I’m awaiting a response from Ian McLaughlin of Entry Central. Graham & Gaynor have “deputy access” to this event.
-I’ve updated the events pages for our club promotions - new Ingliston dates added, Supr6r Six page amended & news item announcing online entry via Entry Central created.
- Committee agreed who should be on guest list for club dinner and Jonny will contact them accordingly.
d] Membership Services.
-Graham reported that the leisure wear is still awaited from the printers.
-Reartu Order in by paypal with a few teething problems.
-Tim B picture now on Membership cards.
-Handbook held up waiting on KW,MF and PN. George Angus will complete it.
-Imp sport will require new logo’s.
-One of Flamme rouge items to be given away as a ticket prize.
-Graham experimenting with Lee Whitelaw’s lights as a alternative system for photo finish lighting.
-We have 286 members so far for 2009. [20 under 18 years]
-Graham will make membership database available to race organisers for race volunteers.
-Club Equipment database will be available soon.
-Newsletter page on website.
-Measuring equipment purchase is still being investigated with potential for partial ESCA funding.
e] Off Road.
Fi wasn’t present but had submitted the following report:
“I've not much to report other than Greig Walker's success at the Glasgow round of the Scottish Cyclo Cross Series recently. All the details are on the website.
If the trophies are retrospective, I had previously suggested that Greig wins the ERC MTB trophy for 2008 but I'm not sure how this works with the memorial time trial being in March. Sandra Scally should win the women's one which doesn't need engraved.
Alistair Lees Memorial Time Trial.You may be aware that Helen has set a date for this again- Sunday 15th March. I have suggested that we might be able to give this event the same amount of support as we did last year. Problem is, I can't remember how much that was. If someone can find that out for me (and which budget it came from) I would be very grateful”
f] Multi-Sport.
Peter wasn’t at the meeting but had submitted the following report:
Swimming gala to take place on Sunday the 7th of March at the Edinburgh Uni pool. Organised by ERC and ET, Edinburgh Uni and Newhaven tri clubs invited for the challenge. Monday swim session at Portobello changed from 6.30pm to 7.00pm start to 8pm and is being well supported - numbers looking good. Still to discuss tri training weekends and target events etc.
Good work on the prize giving meal at the Bruntsfied Hotel - I will look fwd to whetting the appetites of the tri section on return next week and to drumming up support.
g] Treasurer.
Jen reported that the RBS account is finally open and money paid in.HBOS money to be transferred across.She has reconcilled accounts with Andrew.ERChas received £5.2k in membership fees and another £500 has come in from the Hilton.
In january £8.8k in income and expenditure of £5.2k with a balance of approx £15k .
h] RTTT.
Kevin reported the following:
-Men’s team: Management group meeting to be held this month.Coached training ssessions planned for 8th and 22nd Feb and 1 March.Awaiting confirmation of budget request of £6k.Traget races to be agreed soon but two are coming up: Supr6 on 7/3 and Tour of the North over Easter.
-Women’s team-Discussions taking place on the future of the team with 3 remaining members of the management group.
-RTTT Budget: £321 spent so far.
- RTTT Meeting-Kevin will try and arrange a meeting before Majorca training camp.
- Track: Kevin will pursue another try the track training day.
- Supr6 on 7/3/09: Kevin encouraged all to support sandra Murdoch with this event.
-Ingliston crit series: Kevin requested that a helpers meeting be held soon.
I] Coaching.
Colin reported that Jane leask was interested in a level 2 coaching course.Colin was meeting both Gareth George and Neil Muir soon to discuss coaching issues.
j]Club Dinner.
Gaynor Hamilton-Cowe has done a fantastic job organising the dinner but unfortunatelty will not be there.Jen agreed to act as organoser on the night.We will have to arrange for 25 people to sit in annex and these will be a mix of invited guests and committee members.Sandra and Jonny to hand out prizes as per normal.
K] Club Awards.
Discussion took place and agreed thaht Phil Darby for Club Volunteer, Chris Harney for Race organiser,Tim Blathwaite as Newcomer, Greg Walker for strength of character, Louise Borthwick for most promising rider and possibly Ben McCulloch or Lorna Webb as School person of the year.Ken whitson to decide
L]Budgets.
Discussion took place and the following were agreed:
Distribute £3k over three sub groups as per membership split.
Membership services to receive £500 towards maintenance of equipment etc.
Coaching will receive £1000.
Youth development £500
Men’s Team £3000 with a commitment for further funding dependent on riders on team’s commitment to racing in 2009.
M]Any other Business.
1] SC Hill Climb Champs- KW will organise with full backing of club.
2] Victim of assualt on bike on Saturday at tranent.We send him our best wishes towrads recovery.Police whee called and will hopefully ctach the culprit.
3] New Members night a great success on 19/1/09.
4]Louise Borthwick allocated a club bike.
5] Gifford Community Council happy with all ESCA events in their area in 2009.Sandra Murdoch will attend a meeting with them to discuss the supr6 on 7/3/9.
6]ESCA Funding criteria is on the ERC Club noticebaord.
7] Committee agreed to allow SC [Rudi Dorn] to use Ingliston crit event as a training event for their officials in the use of photo finish equipment.
N] Date of the next meeting.
The next meeting will be held on Monday 2nd March 2009 at 1930 hours in the Mercat Bar.
